New feature now live: late enrollments for courses

We get so many great ideas and valuable feedback from you and we always look to implement the top voted suggestions.

Late enrollment for courses has been one of the most requested features we’ve received over the past few months. We are pleased to announce that this feature is now live! Yes, that's right. You can now accept late enrollments for courses and also set a pro-rated fee based on the number of classes left to book.

For each course you offer, you can set if and upto which class - after the course has started - you want to accept late online enrollments.




Set a pro-rated price for late enrollments


You can charge the total cost of the course for late enrollments, or if you prefer, you can set a pro-rated fee that Bookeo will automatically charge for each class.

For example you can set:
  • the price of a 10 week course @ $120, and 
  • charge a pro-rated fee of $13/class for late enrollments. In this case, a customer enrolling for the last 8 weeks of the course would be charged $104  (=$13/class X 8 classes).

New feature: offer weekly and special tours, classes, courses, events and workshops as private

We’re thrilled to announce a new feature that allows you to offer a weekly or special tour - or class, course, event, workshop - as private. This means that once you receive one single booking per tour - even with multiple participants -, the tour will be full, and no further booking will be accepted.

We know that you love Bookeo's flexibility, therefore we developed this exciting feature so that you can offer the weekly or special tour:

  • always as private: you will always accept one single booking per tour, even with multiple participants, or
  • private only on specific days: you will accept multiple bookings per tour on most days, but with a couple of clicks you can accept one single booking - even with multiple participants - per tour on specific days. 


Set a group tour as always private


It's easy to offer a weekly or special tour as private. You can enable this feature in the Schedule tab of your tour.



Once this feature is enabled, you will only accept one booking per class/tour, even with multiple participants. This also means that the number of seats you set for the tour can be booked in one single booking - pretty much in the same way as personal tours/lessons work. Please don't forget that you can now enable Virtual Rostering (see http://www.bookeo.com/blog/2014_06_01_archive.html) to offer group and private tours on a first-come, first-served basis!

Offer a weekly or special tour set as private as a group tour on specific days


Occasionally, you may want to accept multiple bookings for a weekly or special tour set as private - or vice versa.

You can easily do it directly from your Bookeo Calendar! Simply click on the tour, go to the Seats tab and set if it is private or not.

What is the difference between weekly and special tours set as private and personal tours/lessons?


The main difference is how tours and classes show in your Bookeo Calendar and in your booking page.

Personal Tours and Lessons show in your resources calendar only if there is a booking.

Customers can select any start time within a preset availability range. This is also why we sometimes call these "flexible" tours.

Group Tours and Group Classes set as private show in your Bookeo Calendar and in your booking page in the same way as group tours. Users of the Bookeo account and customers can see upcoming tours with available times and seats. Only the specific times you set in your schedule are available.

What is the best way to set up a private tours/lessons?

It's up to you really, and how you want to see them in your Bookeo Calendar and show them to your customers in your booking page. Also it depends whether you want to offer only fixed times, or give a generic "availability" range, and let customers pick any time in which a resource (a guide, a vehicle, etc) is available in that range.

However, please keep in mind that if you have many resources and many start times each day, we would recommend you to set up private tours/lessons as Personal Tours and Personal Lessons, otherwise your Bookeo Calendar and booking page could look very busy.
