QuickBooks integration

Many customers have asked us for a way to integrate Bookeo into their business processes, and accounting was the number one request in terms of popularity.
After all we all have to pay taxes and report our income. Since it is not a particularly fun activity, the less time we spend on accounting, the more time we have to grow our business - or to enjoy leisure time for ourselves!

QuickBooks is probably the most popular accounting software in the world, at least for small businesses, so it is only natural that Bookeo started from there.

Thanks to the new QuickBooks integration, you can now export all your sales data and your customer data straight into QuickBooks.

To start, click on Settings/Integrations/QuickBooks .

Exporting to QuickBooks is easy

As shown in the picture above, you can export sales for the last month, last week, or any period of time in the past. It is a good idea to put a reminder in your calendar and run this operation for instance once a month, collecting sales data of the last month.

Every QuickBooks setup is a a bit different from the others. You may use different accounts for your sales, your funds and so on. Bookeo lets you specify all the accounts involved.
You can also make Bookeo calculate sales tax for you, based on the final price paid by the customer. You can specify up to 3 sales taxes, ex. local and state.

Sometimes you only take a deposit online, and the customer pays the rest in person. Sometimes you do not take online payments at all. So how do you get the correct sales data out of Bookeo?

You have two options: you can only export the actual payments recorded by Bookeo (what the customer has paid online, and the payments that you have entered manually). Or you can go a step further, and tell Bookeo to treat any 'due amount' as paid, unless the booking was cancelled or marked as no show.

This is useful if you don't take full payment online, and you often forget to mark a booking as paid later.

And what if you don't use QuickBooks for your accounting? No problem! Remember that Bookeo also lets you export your booking data easily to a spreadsheet, so that you can import into other accounting tools.

New feature: booking status tracking

It is a common scenario for dental practices, medical centres, and businesses with a receptionist / front desk.
A customer arrives, registers at the front desk, and then sits, waiting to be called in.
Or maybe calls in instead, warning he will be 10 minutes late.

How can the receptionist notify the doctor/dentist/therapist of the event? And when the customer finishes the treatment, how can the doctor inform the receptionist that the appointment is completed? Or that the customer must reschedule a new appointment?

By popular demand, we've now made this very easy from within Bookeo.

You can now enable the tracking of the booking status, in the Settings / Booking preferences page, under the 'Booking status' tab.
You can define the statuses that you want to track (every business is different!), and associate a unique color to it.

Now, any user in your business that has access to the scheduling interface can change the status of a booking by simply clicking on the small square in the top right section of the booking.

And the most useful feature is that the change will propagate immediately to the screen of every other person in the office that is logged in to their account. So for example a doctor can simply keep his calendar open all day, and without touching a button he can monitor the status of his appointments as they update in real-time!

New feature: business reports!

We're pleased to announce a new feature just launched on Bookeo - business reports!
Now you can get full reports of your business activity, to comply with regulations, extract data and stats for internal use, and so on.

All reports are visible on screen and can also be downloaded as Excel spreadsheets.

Not only you can download details about all appointments between two dates, but you can filter the results they way you like. Ex. only appointments for a particular service, or involving a particular consultant/teacher, or using a particular promotion...

You can also use advanced data aggregation to get an insight into your business. Ex. a report of all bookings by consultant. How many appointments did each consultant handle? How much revenue did this generate? How many hours worked?

Or you could get a report about all promotions: how many appointments were brought by each promotion? How much revenue?

Customer report
This is a far simpler and more straight forward report, but very useful. Get a list of all the customers, total appointments, cancellations, and most importantly view the time of their next appointment and the time of their last appointment, so that you can take appropriate actions (follow up calls? etc).

Business intelligence is a powerful tool to optimize and grow your business - now you can use all the data that Bookeo collects about your activity in an easy and effective way!
